Custom web systems

A customer portal, internal workspace, or quote manager built around how work actually happens. Data, tasks, and next steps in one place.

Let’s talk about your workflow

WHO IS IT FOR?

When this sounds familiar.

For teams sharing work on the same cases, needing different access levels, and managing processes that no longer fit safely into a spreadsheet.

WHEN TO START ELSEWHERE

Part of making a good decision.

If an existing product handles the important requirements well, configuring and integrating it may be the better route. Custom development earns its place through distinct business needs.

01 — WORKING TOGETHER

Clear steps. Visible progress.

We clarify important questions early and build in small steps you can try and review.

  1. 01

    Workflow and permissions

  2. 02

    Testable prototype

  3. 03

    Development and migration

  4. 04

    Training and handover

One complete, testable workflow

The first output is more than a list of screens. We select one real case type and design its intake, states, roles, permissions, and completion. The prototype lets us test the same task from both the customer and the internal team perspective. Migration gets its own plan: what moves, what needs cleaning, and what remains in the old system.

What happens when something fails and after handover?

The trial includes missing data, repeated submissions, and permission errors. The system must show what stopped, who can fix it, and which state can be restored. Before launch, backup, recovery, monitoring, and support boundaries are agreed explicitly instead of being left as assumptions.

TYPICAL BRIEF / EDUCATIONAL EXAMPLE

What can a shared customer workspace do?

A typical brief is to connect the customer view, the internal team view, and completion status to the same case.

This block illustrates a possible brief. It is not a previous reference or a verified business result.

A few things you might be wondering.

How does working together start?

With a conversation about a specific workflow. We look at its trigger, who works on it, where it gets stuck, and what better would look like. Then we suggest a next step and agree on scope, cost, and terms.

How much does a custom solution cost?

Cost depends on workflow complexity, integrations, data quality, and operational needs. After the initial discussion, we quote a defined scope. One-off development and expected running costs are considered separately.

How long does a project take?

We estimate the schedule once the scope and available access are clear. A focused automation and a portal with several roles are different projects. Milestones give you something usable and reviewable as early as possible.

Do I need a finished specification?

No. A short description, a few anonymised examples, and a list of your tools are a good start. We clarify business rules, exceptions, and priorities together. Do not include passwords or sensitive customer data in your first message.

What happens to our business data?

During planning we define what data is needed, who may access it, and where it may be stored. Before connecting an AI provider, we review its processing and retention terms separately. We use anonymised or synthetic samples for testing where possible.

What happens after handover?

The system comes with documentation and a walkthrough. Maintenance, monitoring, and future improvements are agreed separately, so access, backups, and responsibilities are clear.
